We've had local businesses sponsor a portion of our reunions here in Key West by selling ads in our keepsake booklet. We sold ads to non-family owned businesses for $200/page; $100/half-page; and $50/quarter-page. We sold the ads for half the price to family-owned businesses.
As for the letter, I wrote something up that "announced" the reunion and offered businesses the opportunity to benefit from the influx of Allen descendants by purchasing an ad. I did a mass mailing to businesses I thought would be interested and would benefit from our family, and I followed up with phone calls. The key is expressing the way that the patronage will benefit the business in terms of increased sales/visitors. The bottom of the letter featured an "order form" with ad size specs and space for the business owner to indicate which size ad and what copy/graphics they wanted included. I wish I could find the letter so I could e-mail it to you, but that was before my last computer crashed, so I lost it.
Additionally, keep in mind that there may be other ways for a local business to support your reunion, such as by providing items for your goodie/welcome bags. Also, we had our local Coke AND Pepsi dealers as sponsors by creating a bit of competition. Coke provided all of the drinks for one of our outdoor events while Pepsi provided all of the drinks for another event on the next day. And perhaps there's a new printer or website designer in town that is hungry for business and wants to build their profile in the community - they could print your keepsake booklets or design your reunion website gratis as a sponsor. That kind of sponsorship is valuable as well.
My advice is to approach the businesses you and your family members/churches/employers patronize frequently. These businesses will want to return the favor (if they're smart) and support your reunion. Most will require something in writing for their records before writing the check, so you're right to want a letter.
