I'll add my few words of encouragement, too. Don't give up. Yes, being a reunion coordinator can be very tiring and frustrating when family members, for whatever their reasons, drag their feet in replying. When I coordinated the reunion on my maternal side (1997) I experienced the same situation. I ended up phoning folks to try to get a decisive answer and even then did not always get a definitive "yes" or "no." One older family member even said if it turns out that he attends, he doesn't eat much. How do you work with that? :-)
I was in a position at that time to make the deposits that were required. Because this reunion took place in a small town in Louisiana, the cost was not what it would have been had our reunion been in a larger city. Even then, after the reunion was over and I'd prepared the financial report, I ended up having spent a significant amount of money for which I was not totally reimbursed. On receiving the report, several family members sent in contributions to help cover the deficit and I was grateful to them. But again, I was still out a sigifnciant amount of money.
Despite all of the hard work and frustrations, I did not regret having planned that reunion because the family elders were soooooo appreciative! That was the primary reason. The other reasons are that it was the first reunion of descendants of my great-grandparents so a lot of cousins and second cousins were meeting for the first time. The elders and cousins all talked about the reunion for days to come. Of course, I have not planned another one -- I've stated that the next generation of cousins need to step up to the plate; that I can be a resource but cannot do the actual coordinating.
Also, since you are meeting in a large city, if you haven't already, contact the New Orleans Convention and Visitors Bureau (CVB). CVBs can be a great resource for reunion planners. I was reminded of this again while at the recent Family Reunion Conference in Altanta.
So, if for no other reason than for your famly elders, don't give up. You'll be glad that you went ahead with the reunion.
