Combating Hard Times

If you are using a hotel, here's a suggestion. Instead of a catered banquet dinner, try a reception-style menu.
My family committee and I are faced with the same dilemna in the planning of our special reunion this year (See www.BarrDescendants.org).
Since 2009 is marked with economic strife for many, and since canceling this event was NOT an option, we wanted the costs to be as affordable as possible. Therefore, we decided that instead of a full banquet meal on Friday, we will have a "reception-type" banquet, meaning that the food served will be reception-type food (various hors d'ouvres, etc.), but the family will still enjoy a "banquet program."
After we decided this, we discussed this with the hotel, and they will allow us to do this without charging us a rental fee for the ballroom. We expressed that we wanted to keep the fees for Friday night at around $20.00 per adult. Had we stuck with the banquet-style menus, we were looking at $45 - $50 per adult just for Friday night alone.
At the same time, we are also expressing to family members to please attend Friday night with half-full stomachs. There will be food, but not a "banquet buffet" or a full-plated meal, but the program is going to be "off da chain." Also, the hotel is right down the street from a nice mall and numerous eating places.
