Well I don't live in Atlanta but I hear it is a very popular family reunion destination. You did the right thing by contacting the local convention and visitors bureaus. I'm sure Stone Mountain has special pricing and group activities for family reunions. When you contact them, let them know how many you expect to attend.
If you know how many hotel rooms you will need, you can go to http://reunionsmag.hotelplanner.com/ and see what kind of hotel prices they can offer you there.
The first thing you should do is figure out what type of reunion are you going to have. How many days it will last. How many activities you will have. Will it be potluck or catered, etc.
Then you should send out some type of survey to all your family members asking them if they are interested in participating in the family reunion. You should ask them to list all their immediate family members and age groups. Also ask if they will need hotel accomodations. When you get your surveys back you will have an estimate of how many people plan to attend and how many will need hotel rooms. So you will know how many rooms to include in your hotel block.
To figure out how much to charge family members, take the total and divide it among all family members participating. The total cost should include all food, banquet hall rentals (include taxes and gratuities), picnic shelter rentals, T Shirts, entertainment, postage and stationary, copying and printing, phone calls, awards and prizes, etc.
