I am not sure if I totally understand your question, but I'll take a stab at it. Instead of a picnic, your family will be having a bowling event (sounds funs!), but you would like to provide the family with sandwiches during this event? I think it is always a very good idea to provide the family with good food, if it's possible. No one likes to attend an event where the food is awful, non-plentiful, or just not served when folk will probably be hungry, especially if they are paying money to attend the event.
If the facility where the bowling event will take place will allow you all to bring in food, why not consider getting estimates from a local caterer to see if they can prepare some burgers, fries, etc. That way, the family won't have to worry about the cooking, and everyone can have fun.
If hiring a caterer will exceed the budget, perhaps you and several family members can prepare some food to serve? But that'll depend on if the bowling facility will allow food. But since you all are not locals, preparing the food might be a challenge. However, perhaps your local relative has a place large enough for you all to prepare?
Just some thoughts. Maybe others have more ideas and suggestions.
