To accommodate the elderly and physically challenged, we scheduled all major activities in the hotel. Our contract provided use of one room for all events. Hotel staff was responsible for seating changes based on the event: welcome reception, talent/fashion show, banquet/luncheon, worship service, etc.. Registration tables were located outside the entrance to the room. Only registered guests [with nametags] are permitted to enter.
I don't think it is possible to have a reunion without 'crashers', at least in my family. Some will reserve rooms, but never register. They get the benefit of reduced room rates, interaction with family members, AND they want to purchase t-shirts!
