The statement "I think if many more people had a hand at reunion planning, they'll understand how important it is that deadlines are met." is certainly worth repeating. To that end it is best to have as many on the Family reunion committee as possible.
Take a survey of preferences giving everyone an opportunity to respond to suggested costs of services including hotels, etc.
Committee members should be the primary supporters of the event. Take the time to collect dues during committee meetings. It would also be best to ask for comments from family members when sending out the initial mailing.
To make it easier to collect dues have select local relatives in good financial condition collect from a designated group of households in the immediate area. These would be reponsible to send in the money by a certain deadline.
Offer incentives for sending in dues early such as discount coupons or free t-shirts, etc. Take the time in your mailings to explain why dues are needed by a certain date and establish a goal similar to a telethon.
Keeping the lines of communication wide open is essential. Family Reunion Planning is a daily task of followup. If you find you are too busy to make contact as often as needed delegate certain followup task to other committee members.
